Orphan Outreach is a Christian non-profit serving orphaned and vulnerable children in Africa, Asia, Eastern Europe, and Latin America. Our mission is to glorify Jesus Christ by having a significant, long-term impact on orphaned and vulnerable children, equipping each child for a fulfilling, independent Christian life in their community. 

Orphan Outreach is seeking a part-time Donor Data Entry Specialist to support our database and donor development Team by ensuring accurate, timely entry of all donor gifts and constituent information into the donor database. This position is the front line of data integrity — every receipt, every acknowledgment, and every report downstream depend on clean entry at the source. Accuracy, consistency, and attention to detail are essential. The Data Entry Specialist works closely with the Donor Data Analyst to ensure data is captured cleanly so it can be analyzed and reported on reliably.

Hours: Approximately 20 hours per week, on-site in Plano.

RESPONSIBILITIES/TASKS:

Gift Entry and Donor Records

  • Process all daily gift entries into the Virtuous CRM, including one-time gifts, recurring gifts, planned gifts, pledges, pledge payments, and gift asks.
  • Assist with non-sponsorship recurring gifts and payment updates and cancellations.
  • Code gifts accurately by fund, campaign, appeal, and designation in accordance with IRS standards and Orphan Outreach’s gift acceptance policy.
  • Enter and update donor constituent records (names, addresses, contact information, contact notes, relationships, soft credits) ensuring accuracy and consistency.
  • Flag exceptions, duplicate records, and gift coding questions for review by the Donor Data Analyst.

Receipting and Acknowledgments

  • Generate and mail donor receipts on the established schedule.
  • Process in-honor and in-memory acknowledgment cards each month.
  • Maintain receipt logs and ensure all donors receive timely acknowledgment.

Mailing Lists and List Pulls

  • Pull and prepare routine mailing lists for direct mail, giving campaigns, and special events based on requests from the Advancement Team.
  • Verify list accuracy before delivery — deduplication, address hygiene, and opt-out compliance.

Data Hygiene

  • Perform routine data cleanup tasks: deduplication, address standardization, missing-field updates, and standardized constituent coding.
  • Support the Donor Data Analyst in implementing and following data quality protocols.

Servant Leadership

Requirement

POSITION REQUIREMENTS, KNOWLEDGE, SKILLS & ABILITIES:

Requirements

  • Must be a committed Christian; adhere to Christian principles and values. Involved in local church and understands the role and value of the church as advocates for orphans.
  • High school diploma required; some college preferred.
  • One or more years of data entry, administrative, or bookkeeping experience preferred.
  • Familiarity with a CRM system preferred (Virtuous, Raiser’s Edge, Salesforce, or similar); training will be provided on Virtuous.
  • Ability to work in the Plano Office. Orphan Outreach provides an In-Office / Hybrid Remote Work Environment.

Skills and Proficiencies

  • Must speak, read, and write English proficiently.
  • Working knowledge of Microsoft Office products.
  • Working knowledge of Mac environment.
  • 10-key proficiency a plus.
  • Able to learn new technologies.

Hours and Compensation

  • Part-time, hourly position — approximately 20 hours per week.
  • Hourly rate commensurate with experience.
